City of Newcastle (CN) is seeking a Project Support Officer to play a pivotal role providing accurate, timely and confidential support to our Assets & Projects team, coordinating, maintaining and managing project records.
As the successful candidate you’ll be responsible for the preparation and distribution of project and other documentation, project document control, as well as the supervision and maintenance of the team projects and records management. You’ll also assist in the preparation of Project Charters, Project Plans, Project Status Reports and Closure Reports, as well as community consultation documentation.
Additional responsibilities include minute taking, the implementation of business process improvements, managing the electronic distribution of controlled documents, providing support in project procurement, and assuring document quality to include completeness, accuracy and compliance.

To be successful in this job you will have:
Essential
- Certificate III in Business Administration (or equivalent qualification), and / or extensive administrative experience in an Engineering or Project Management environment.
- Advanced computer skills using Microsoft office suite.
- Extensive experience creating and controlling the distribution of templates and documents.
- Experience in assisting with project documentation including project charters, project plans, project status and closure reports, and consultation documentation.
- Demonstrated ability to prioritise multiple tasks and meet deadlines on a daily basis, as well as a willingness to prioritise immediately urgent tasks and apply a high level of contingency skills.
- Knowledge of finance recording and invoicing procedures.
- Developed interpersonal, negotiation and problem-solving skills.
- Demonstrated ability to work as a member of a team, and to contribute to team effectiveness and development.
- Demonstrated ability to assist with community consultation processes.
- Class C Driver's Licence.
Desirable
- Experience and knowledge of local government policies, procedures, operations and systems.
- Experience and knowledge of project delivery phases, from inception to completion.
- Working knowledge of tendering regulations of the Local Government Act (1993).

Remuneration: Salary range dependent on skills, qualifications, and experience of $68,887.55 - $79,880.25 + 9.5% Superannuation per annum for a 35-hour week.
